How is strategic monitoring organised in the City of Angers and Angers Loire Métropôle ?
"In recent years, the documentation department of the City of Angers has undergone significant changes in its working methods and in the way it responds to the expectations of its employees. In a context where the circulation of information is becoming a major challenge for operational departments, we have begun to reflect on our methods of dissemination and the tools to be used to effectively reach internal users: our colleagues. "
A revamp of information distribution methods to better meet user expectations
"This approach initially resulted in the implementation of a strategy for distributing information via our local authorities' digital tools. We developed a SharePoint site, designed as a portal to our documentary resources, as well as a Teams team, which now plays an essential role in relaying our work and sharing documents and monitoring selections in real time. These tools have improved the visibility of the service and established our role as a facilitator of access to information for the operational departments of the City of Angers and Angers Loire Métropole.
However, in a satisfaction survey conducted among our users, several colleagues expressed a desire to receive a regular newsletter. The idea of a newsletter, complementing existing channels, quickly emerged as a relevant means of providing more direct, concise and accessible communication. It was in this context that we thought of Sindup, a solution we had discovered a few months earlier during a study day devoted to document monitoring practices.
Why did you choose to work with Sindup?
"We contacted the Sindup team to explore the possibilities offered by their content monitoring and distribution tool. A test phase, conducted over several weeks, allowed us to evaluate the available features and their suitability for our needs. The solution is not limited to distribution: it also allows us to efficiently collect and process information, much like an RSS feed aggregator, which saves us a considerable amount of time in our monitoring work.
The results were positive, so we began to configure the newsletter module, which offers a simple and effective interface for selecting, formatting and distributing information from our documentary research. Throughout this process, we benefited from attentive and responsive support from the Sindup team, who advised us on implementation and guided us in learning how to use the tool.
Benefits and results
"Using this new tool brings us several tangible benefits: professional layouts that are easy to create, greater visibility of our monitoring activities among agents, and easier content appropriation thanks to a clear and readable format. The ten or so newsletters we have set up fit perfectly into our overall internal communication system, complementing SharePoint and Teams, and allow us to showcase our documentary expertise in a different way. We manage 10 permanent newsletters for around 100 recipients, and also use newsletters or collection files on a more ad hoc basis to support short-term projects.
Feedback from colleagues is encouraging and confirmed by usage statistics available on the Sindup platform. After six months of production, we will be communicating more widely about this tool at the start of the 2025 academic year to increase the number of recipients of our newsletters."
